US visa employer letter: downloadable model

This page carries the model employer letter, ready to copy or download, adapted to this country, plus the English version. Before the model comes what the Department of State publishes about application documents.

What documents the Department of State names

The official visitor visa page lists a passport valid for at least six months beyond the period of stay, the printed DS-160 confirmation page to bring to the interview, and the photograph, uploaded while completing the DS-160. The same page says additional documents may be requested to establish whether the applicant is qualified.

The employer letter is not on that list of required documents. It falls under the additional documents that may be requested.

Carta laboral, constancia and certificado: how they differ

All three words show up in searches and in everyday use they refer to the same kind of document. None of the three is a term the Department of State uses: the official documentation names no employer letter, proof or certificate, only the generic mention of additional documents. What follows describes usage, not a legal definition.

Employer letter
In everyday use this is the broadest document: besides confirming employment it usually states the approved leave and the return date. It is the term people search for when they want a model for the consulate.
Proof of employment
In everyday use it simply records the fact: that the person works there, since when, and in what role. It tends to be shorter and does not cover leave or travel dates.
Employment certificate
In several countries this is the name of the document a company issues through a formal process, sometimes on the organisation's or HR department's own template. In practice its content matches the proof of employment.

Where a country's labour code defines one of these terms, that definition belongs to that country's employment law and not to the visa process.

Frequently asked questions

Does the US consulate require an employer letter?

The Department of State's visitor visa page lists the passport, the printed DS-160 confirmation page and the photograph, and states that additional documents may be requested. The employer letter is not on the list of required documents. Source: https://travel.state.gov/content/travel/en/us-visas/tourism-visit/visitor.html, checked on September 3, 2026.

Is carta laboral the same as constancia de trabajo?

In everyday use they name the same kind of document. The employer letter is usually the longer one, adding approved leave and return dates; the proof of employment records only the employment relationship. Neither term appears in Department of State documentation.

In what format does this model download?

As a plain-text file (.txt). It opens in Word, Google Docs, Pages or any phone text editor, and the text is then placed on the company letterhead.
